Admin → Content → Content Management lists every unit your workspace owns and shows where each one is published, shared, and placed. Tick units to publish, archive, tag, place in channels, or share them in bulk. When the new version is on for your organization, this tab replaces the older Content Management tab at the same address. You need the Admin role for Content to see it. This may not be enabled for your organization.

What the table shows

Each row is one original unit that your workspace owns and that can stand alone. Steps inside a Journey are not listed, and neither are copies that other workspaces made. Live events (events, ILT, webinars, workshops) are managed under Events Management, so they do not appear here. The channels, catalog, status, and learner values in a row describe the unit in your main workspace. Rows are sorted by Last updated, newest first, with 25 rows per page (you can switch to 10, 50, or 100).

Units shared into other workspaces

If your organization manages sub-workspaces, a unit that is shared into one or more of them has an arrow before its title. Select it to expand a read-only Shared into these workspaces list. For each workspace it shows the channels, catalog state, status, learners, and last published date. Nothing in that list is editable. To remove a unit from a workspace, tick its row and use Unshare from… (see below). When a Journey is shared into another workspace, learners there see each step’s content and their own step statuses, the same as in the workspace that owns it.
Sharing between workspaces may not be enabled for your organization. It must be on in both the sharing and the receiving workspace.

Filter and sort

Every column header has a filter, and every column except Tags can be sorted. Tags can’t be sorted because one unit can carry many. Filters combine: a row must match all of them. Select a column title to sort by it ascending; select it again to flip the direction. The refresh icon above the table reloads the list. When no unit matches your filters, the table says No units match the current filters. Clear a filter to see more.
On a very large library, sorting or filtering by some columns can ask you to narrow the list first. Filter by title, type, or a Last updated range, then try again.

Act on many units at once

Each row has a checkbox, and the checkbox at the top of the table ticks every row on the page. Your selection stays when you move to another page. Once at least one unit is ticked, a bar appears above the table. It shows how many units are selected and the actions you can run on them. The number in brackets is how many of the ticked units that action applies to. Actions that apply to none of them are hidden. Use Clear selection to start over. Share to… and Unshare from… appear only when a ticked unit has another workspace to be shared to, or is already shared into one. Each action opens a dialog that first checks every ticked unit. It shows what will change and lists the units it will skip with the reason, such as Already published or Already archived. The Archive dialog also shows the Journeys or courses that contain each unit, the channels it sits in, and how many workspaces it is shared into. Nothing changes until you confirm. One action covers at most 200 units. If more than 200 ticked units qualify, that button is disabled with a tooltip asking you to narrow the selection.

Edit tags

Edit tags… opens a checklist of your workspace’s tags, with a search box. Each tag has a checkbox that shows where the selected units stand: checked when every selected unit carries the tag, a dash when some do, and empty when none do. When you selected several units, a tag that is on at least one of them shows how many, such as 2 of 5. Tags already on the selected units come first, under On these units (On this unit for a single unit). The rest are under More tags.
  • Select an empty tag to add it to every selected unit. The row says Adding to N units.
  • Select a checked tag to remove it from every selected unit. The row says Removing from N units.
  • Select a tag with a dash to step through three states: add it to the rest, remove it from the units that have it, then leave it as it is.
  • Adding and Removing lines under the list name every change. The dialog also counts how many units will change and how many stay as they are.
  • One edit can add up to 50 tags and remove up to 50 tags.
Select Apply to save. If a tag was deleted while the dialog was open, the dialog says so and offers Remove from this edit.

Edit channels

Edit channels… opens one section per workspace the selected units are in, starting with Main workspace. Each section says how many selected units are there. In a section you can:
  • Pick channels under Add to channels to place the units in them.
  • Pick channels under Remove from channels to take the units out. This list offers only channels that the selected units are in.
  • Pick up to 50 channels in each list.
Each section previews what will change. If you can’t manage a channel you picked, the section warns you, and the units aimed at that channel are skipped. A workspace with no channels says This workspace has no channels yet. One Apply at the bottom of the dialog saves every section you edited. Each section then shows its own result as done, skipped, and failed counts. After a section has been saved, Cancel changes to Done, so you can close the dialog and keep what was written.

When an action finishes

A banner above the table names the action, such as Publish finished, Tags updated, or Channels updated. It shows how many units were done, skipped, or failed. If any were skipped or failed, select Show details to see them with the reason, and Hide details to fold the list again. Select Dismiss to close the banner. The selection is cleared.

Key behaviors and nuances

  • One row per original. Sharing a unit does not add rows. The workspaces it is shared into appear inside the original’s row.
  • Archive affects every workspace. Unpublish only affects your main workspace’s catalog. To pull a unit from a sub-workspace, use Unshare from….
