If your organization runs more than one workspace, you can build a unit once and share it with the others. The unit stays in your workspace. Each receiving workspace gets it in its own company catalog, assigns its own people, and sees results for its own learners. You see results for every workspace in the unit’s analytics.

What sharing does

Sharing is one-way and read-only. A receiving workspace can’t change your unit.

Open the unit's sharing settings

For a course, quiz, or interactive lesson, open the unit, select Settings, then open the Permission & Control tab. Find the Share to Workspaces box.For a Journey, open the Journey, select Settings, and scroll to the bottom of the form.

Turn on Share to workspaces

Switch Share to workspaces on. The workspace picker opens below it.

Pick the workspaces

Select the Filter workspaces… field to see the workspaces you can share with. Type to narrow the list, then select a workspace to share the unit with it. Each workspace you pick appears as a chip above the field.

Confirm it saved

You don’t need to save. Each change takes effect straight away and you see Updated successfully!.
Share a Journey and its steps come with it. You don’t share steps one by one.
To share or unshare many units at once, use Share to… and Unshare from… in the new Content Management tab, if it is enabled for your organization.

What the receiving workspace sees

  • In the company catalog, the unit card carries a Shared by label with your workspace’s name.
  • On the unit page, a banner reads that the unit is shared by your workspace, is read-only, and is managed by the owning workspace. You can close the banner.
  • For admins, Share assigns the unit to their own people, and Analytics shows their own learners. Settings isn’t available, because the unit belongs to you.
  • For learners, the unit works like any other: they start it, make progress, and complete it. Their progress belongs to their own workspace.

Track results across workspaces

Open the shared unit’s Analytics, then the Learners tab. Once the unit is shared with at least one workspace, the table gets:
  • A Workspace column that shows which workspace each learner belongs to.
  • A Workspace filter. It lists your own workspace and every workspace the unit is shared with.
  • The same Workspace column in the table’s export.
If you don’t see the Workspace column, the new learners table may not be enabled for your organization. Contact Juno support.

Stop sharing

You can stop sharing with one workspace or with all of them:
  • One workspace: remove its chip, or select it again in the Filter workspaces… list.
  • All workspaces: switch Share to workspaces off.
If learners in the workspace have been assigned the unit, Juno asks Stop sharing? first. The message tells you how many learners lose access. Select Stop sharing to confirm, or Cancel to keep things as they are. If nobody has been assigned, sharing stops without a prompt.
Access ends straight away. Learners in that workspace can no longer open the unit.
What happens to their progress:
  • Progress is kept. Learners’ history isn’t deleted.
  • Sharing again restores access. If you share with the workspace again, learners whose access you removed get it back with their progress intact. Learners that the receiving workspace’s admins unassigned themselves stay unassigned.
  • Switching sharing off keeps your list. If you switch sharing off and on again, the same workspaces are selected again. If one of them can no longer receive shared units, sharing doesn’t turn back on. Contact Juno support.
